Cosplay Meetup

Whether you’re a seasoned cosplayer or just starting out, we welcome you with open arms to be a part of Tokyo X’s Cosplay Meetups! The Cosplay Meetup is are self managed by the host/organizer and Toyko X requires the organizer to clean up after their scheduled gatherings, be professional, respectful, and allow use for public after each event. All Meetups must submit applications to Tokyo X team for approve, before being annouced publicly.

Requirements
The Panelist is willingly providing their services to Tokyo X and acknowledges that participation in a Panel represents a opportunity. Panelists shall not be entitled to receive any form of compensation for their involvement. Tokyo X retains the right to cancel a Panel for any reason, and under no circumstances shall Tokyo X be obligated to compensate the Panelist in the event of such cancellation.

Panels are scheduled in 30 min or 1 hour blocks to maximize our programming effectiveness. To make the most of this time, panelists should allocate a few minutes for both setup and teardown during their scheduled sessions.

Make sure to give yourself 5-10 minutes for setup. If you need assistance connecting your laptop or tablet to a projector or TV, don't hesitate to ask our team to ensure everything runs smoothly. Plan for 40-45 minutes for 1-hour panels and 10-15 minutes to teardown, setup, mic check.

As important as starting on time is wrapping up effectively. Please begin wrapping up your panel 10 minutes before the end of your scheduled time, allowing both panelists and attendees to exit the room promptly without delay.

Panelist are allowed only one panel per day.

Additionally, we ask that panelists take responsibility for removing any trash or beverages they bring into the room.

We understand that meetings may require adjustments, but please avoid rearranging furniture or moving A/V equipment unless discussed with programming team prior. If you must make changes, kindly reset the room to its original arrangement before departing.

Tokyo X hereby disclaims any liability for actions taken by panelists or attendees that may result in immediate or future damages. It is understood that panelists shall assume full responsibility for their conduct during their respective panels

All panels are required to apply and must be approved by Tokyo X team before allowed to present during the event. If there is any damage to equipements in the room during panel, the Panelist is held liable for property damage.
